The escalation ladder

• Overdue (default: 14 days unpaid): the customer automatically gets a fresh copy of their payment link with a friendly reminder. No awkward phone call; the robot nags so you do not have to.
• Delinquent (default: 60 days): the invoice is flagged prominently on your side so it stops hiding in the list.
• Optional service hold: if you turn it on, seriously delinquent customers are automatically set inactive, which quietly removes their pools from future routes. The moment they pay, service resumes; the hold is fully reversible and never destroys anything.

Both thresholds are yours to tune. The service hold ships OFF, because stopping service is a relationship decision, not an accounting one; turn it on only if you mean it.

Who gets left alone (on purpose)

• Customers on an installment plan that is on schedule. Their balance is open by agreement; nagging them would be insulting.
• Payments mid-flight. An ACH payment still processing is money on the way, not money owed, so no reminder fires while it clears.

Ripple effects

• The dashboard surfaces overdue totals so the number stares at you until it shrinks.
• A reminder uses the customer's normal channel rules: text if they have consent and a phone, otherwise email. Reply-to is your business email, so "can I pay half now?" replies land with you.
• If the service hold deactivates a customer, their pool report links and review requests pause with them, and everything resumes on payment.

The efficiency trick

Most non-payment is friction, not refusal. A saved card or bank account at the start of the relationship (send the card-on-file link with the welcome message) prevents nearly all of this machinery from ever engaging. The best dunning system is the one with nothing to do.
