Roles and what each person sees

Owner, manager, tech. The exact visibility lines, and the rules that protect your customer list.

Three roles, drawn with one principle: techs get everything needed to do great work at their stops, and nothing that amounts to a copy of your business.

Owner

Everything, including the pieces managers cannot touch: the subscription itself, payout account setup, GPS tracking on or off, transferring ownership, and deleting data. There is exactly one owner per company; making someone else the owner is an explicit transfer on the Team page, which demotes you to manager in the same motion.

Manager

The operating role: customers, pools, routes and dispatch, quotes and invoicing, charging customers, team management, reports, and settings. A good office manager on this role can run the whole day without you.

Tech

The field role, deliberately narrow:

  • Sees their own routes only, and only the customers and pools they service. Not the full customer list, not other techs' days, not billing anything.
  • Works the stop screen fully: checklists, chemistry, photos, notes, skip and reschedule, quotes (which can require office review before they price anything).
  • Cannot send free-form messages to customers, change pool configuration (the sticky note is the one field they can edit), export data, or see internal notes on quotes.

The narrowness is not distrust; it is the answer to "what happens if a tech's phone is stolen" and "what walks out the door if someone quits". The answer is: one route's worth of information, not your book of business.

Rules that protect the company record

  • One active sign-in per account. Signing in on a new phone signs the old one out, so a login cannot be shared across two techs (and your seat count means something).
  • Completed work is attributed permanently. A departed tech's visits and readings stay in every pool's history; removing someone from the team never rewrites the past. Their personal account anonymizes if they delete it, but the service record survives because it is your business record.
  • Every sensitive action is logged. The activity feed records who changed what, when, with before and after.

Labels

Labels on the Team page (Certified, Trainee, Spanish speaker) are display tags for humans. They do not grant permissions and do not affect routing; they just make the roster readable at a glance.
