Customers, pools, and the permanent pool record

Three records do the heavy lifting in PoolChecker Pro, and knowing which one owns what explains most of how the app behaves.

The customer

The person you bill and text. Their record holds contact info, text consent, tags, payment methods, recurring billing, and the message history. One customer can have several pools.

The pool

The thing you service. It owns the service schedule, gate code, sticky note, checklists, and its place on routes. Pools are what count toward your plan's pool limit.

The permanent pool record

Underneath every pool sits a permanent history of the physical pool itself: every chemistry reading, service visit, equipment item, and gallery photo ever logged at that address. Think of it like a vehicle history report for the pool.

This is why history survives events that remove the other records:

• A customer cancels: their pools stop being serviced, but the pool's chemistry and service history stay. If a new owner buys the house and signs up with you, add them as a customer at the same address and the history is right there.
• A tech leaves: their visits and readings remain on the record (attributed to them), so nothing about the pool's story is lost.

Ripple effects worth knowing

• Cancelling a customer does more than hide them: their pool report links stop working, queued review requests are cancelled, and their pools drop off future routes. It is a soft delete, so nothing is destroyed.
• Archiving a pool frees a slot under your plan's pool limit and keeps all history. Pausing does not free the slot (see Pausing vs archiving).
• Chemistry readings belong to the pool record, not the visit. Deleting a visit never deletes its reading; the reading stays as a standalone entry in the pool's timeline.

Where to see it all

Open any pool and the Activity tab is the whole story in one feed: visits with their chemistry folded in, standalone readings, notes, and money events, newest first, with filters for each type.
