Connect QuickBooks and Stripe

Turn on customer payments with Stripe, and connect QuickBooks Online if your books live there. Each takes a few minutes.

Two optional connections, both on the Integrations tab in Settings. Stripe lets customers pay you by card or bank. QuickBooks keeps your books up to date without retyping. Only the company owner can connect either one.

Set up payments with Stripe

Start this early. Stripe checks your details before it turns payments on, and while that is often quick, it can take a few days.

  1. Open Settings, Integrations, find Accept Customer Payments, and tap Set up payments.
  2. Stripe asks for your business details and a bank account for payouts. Already have a Stripe account? You can reuse those details instead of typing them again.
  3. Come back to PoolChecker. The card shows where things stand:
    • Stripe is reviewing your details: there is nothing to do but wait.
    • Finish your Stripe setup: Stripe needs something else, and the card lists it. Tap Finish setup.
    • Accepting payments: you can take card payments. Bank (ACH) payments and payouts to your bank show their own status on the same card.

Stripe's processing fee and a small PoolChecker platform fee both come out of the payout, never out of your customer's bill. Get paid covers the ways to collect once you are set up.

Connect QuickBooks

For companies whose books live in QuickBooks Online. Skip it if yours do not.

  1. Open Settings, Integrations and find QuickBooks Online.
  2. Tap Connect QuickBooks, sign in with your Intuit account, and approve.

That is all. Connecting copies nothing by itself. From then on, every invoice paid in PoolChecker posts to QuickBooks with its payment (and its customer, if QuickBooks does not have them yet), and Stripe fees post as expenses.

One thing to know before you tap Full Sync: it moves customers both ways. It sends your PoolChecker customers to QuickBooks, overwriting the QuickBooks details of any customer it matches, then brings in QuickBooks customers you do not have here yet, without pools. If you plan to import your customer list from a CSV, do that first, and if you have edited customers in QuickBooks, tap Sync Now before Full Sync.
