Set up customer texts
Consent rules, which messages send when, and how your monthly text allotment works.
Updated September 11, 2026
Texting is where PoolChecker feels most professional to a homeowner: on-my-way messages, service reports minutes after the visit, payment links they can tap. It is also regulated territory, so consent comes first.
Consent is the gate
A text only ever sends to a customer whose record has text consent turned on. No consent, no text, ever; where it matters, PoolChecker falls back to email instead so the customer still gets the message.
- New customers you add by hand start with consent off; turn it on when they have agreed to receive texts.
- Imported customers start with consent on, treating them as existing relationships.
- The very first text a customer receives includes the required carrier disclosure, and any customer can reply STOP at any time. STOP applies immediately and automatically; START turns it back on. You never have to manage this by hand.
What sends, and when
- On my way: the tech taps Navigate & Notify and the customer gets an ETA.
- Service report: after a visit, with a link to their own pool report page. Automatic if you turn on auto-send in Settings.
- Schedule changes: when a visit is rescheduled, if you keep that toggle on.
- Review requests: after a configurable number of visits, pointing at your Google (or other) review link. Configured on the Reviews page.
- Quotes, invoices, and payment links: sent from the quote or the customer's page when you choose.
All the switches live in Settings, Notification Preferences. Replies from customers land in the Messages panel on the customer's page.
Your monthly allotment
Each plan includes a monthly text allotment, and it resets every month. If a busy month runs you close, buy a top-up pack under Settings, Billing: pack credits only get used after the monthly allotment is exhausted, and unused pack credits roll over. Emails are unlimited and free.
You can watch usage on the same Billing screen.
Two settings worth checking now
- Business email (Settings, Company Info): customer replies to emailed reports and receipts go there.
- Business hours: customer notifications respect them, so nobody gets a text at 9 pm.
Next: get paid.
